Corporate email with mailcow

Corporate mail built on mailcow — on a shared or a dedicated server. Your domain, unlimited mailboxes, aliases and forwards, two web interfaces and full setup support.

Two models

Shared or dedicated server

Either way you get the same mailcow and the same support. The difference is whose server the mail lives on and how much resource you share with others.

Shared server

One server, several domains

  • Low starting cost
  • Fast deployment
  • Shared resources
  • Technical maintenance

Your domain and mailboxes live on one server that may also host other domains. Technically isolated, economically sensible — ideal for a small or mid-sized team.

recommended

Dedicated server

Dedicated resources

  • A separate VM or physical server
  • Dedicated resources
  • Independent IP reputation
  • Advance planning

mailcow on a server built for you alone — a separate IP, separate resources and full control over load. Capacity and the monthly fee are calculated individually.

Limits

No limits on mailboxes, aliases or forwards

Mail should not be counting your employees. I set it up so adding a mailbox takes a minute — with no extra charge.

Unlimited mailboxes

As many mailboxes as you have people. A new hire does not mean a new line on the bill.

Aliases and forwards

info@, sales@, support@ — to one address or several. As many as you need.

Domains and subdomains

The main domain, brands and subdomains in one admin panel.

History and archive

Old mail is not deleted because of a quota — the archive stays under your control.

The only real boundary is disk capacity — and that is set by the resource package, not by the number of users.

Web interface

Two webmail interfaces — SOGo and Roundcube

Both are open-source products and both are included as standard. There is no extra charge — pick the one you prefer, or I keep both enabled.

SOGo

Mail + calendar + contacts

A rich interface: mail, calendar, contacts and tasks in one place. A good choice for a team that lives in its calendar.

  • Mail, calendar, contacts
  • Shared team calendars
  • Comfortable on mobile
  • ActiveSync support
included

Roundcube

Light and fast

A minimal, familiar interface that loads fast in any browser. Ideal when the main client is Thunderbird or Outlook.

  • Clean, simple interface
  • Fast loading
  • Plugin support
  • Multilingual
included

Both interfaces can be enabled at the same time — for the same mailbox.

Clients

Free clients on desktop and mobile

I help with the full configuration: choose the app, install it, connect it and show how to use it. Everything listed below is free.

Thunderbird

Mozilla’s free client for Windows, macOS and Linux. Calendar, contacts and add-ons — all in one.

Outlook

If you already use Outlook, I connect it over IMAP/SMTP — no licence change needed.

Apple Mail

Built into macOS and iOS — nothing to install, just the right settings.

Android and iOS

The Gmail app, Apple Mail or K-9 Mail — mail always at hand, with push notifications.

  • Thunderbird
  • Outlook
  • Apple Mail
  • Gmail
  • K-9 Mail

I hand over the connection settings (IMAP/SMTP host, ports, TLS) as a ready instruction sheet — one page the team can use on its own.

Access and control

Passwords in your hands, maintenance by agreement

The mail is your infrastructure and should stay that way. So the passwords are yours, while I run the technical side.

Passwords with you

Every mailbox password is in your hands. I can change one at your request — but only when you ask.

Self-service

Want to add a mailbox, change a password or disable a leaver yourself? The admin panel is open to you.

Technical maintenance

Updates, DNS, anti-spam, reputation, backups and incidents — my responsibility.

Handover is always possible

If you ever decide to move elsewhere, the data and the configuration are entirely yours.

This model differs from boxed services: nobody hides access from you and nobody holds your data hostage.

Delivery

Third-party SMTP — so every message arrives

Outgoing mail from the mailcow servers is routed through professional SMTP providers. That means better reputation, fewer spam-folder landings and stable delivery.

  1. mailcow Your mailboxes and domain
  2. SMTP A professional provider
  3. inbox The recipient inbox, out of spam

Reputation and IPs

Outgoing mail leaves from a specialised provider’s IPs, which carry years of reputation.

SPF, DKIM, DMARC

Every authentication record is configured to the provider’s requirements.

Delivery monitoring

I can see which message failed and why — by reading bounces and logs.

Continuity

If a provider fails, mail does not stop — a fallback route takes over.

The provider depends on volume and budget — we choose together, and the monthly cost stays transparent.

Automated mail

SMTP OTP, password resets and system notifications

If your systems need automated mail — one-time codes, password resets, order status — I build and run that channel separately, so transactional mail never mixes with marketing.

OTP and verification

One-time codes for login, sign-up or transaction confirmation.

Password resets

System messages that must never land in spam — a separate stream with its own reputation.

Application integration

An SMTP relay or an API — I connect the website, CRM, ERP and internal services.

On-prem or cloud

Possible with in-house server resources or a third-party cloud service — depending on load.

Transactional mail runs on its own domain or subdomain — that keeps the reputation of your main corporate mail intact.

Pricing

What it costs

The standard service for one domain starts at 70 GEL per month. As you grow, only the resources grow — not the mailbox count.

starting point

Standard

One domain

  • From 70 GEL/month
  • Unlimited mailboxes and aliases
  • SOGo + Roundcube
  • Maintenance and support

On a shared or a small dedicated server. Everything a small team needs — for one fixed fee.

Growing

By resources

  • Individual calculation
  • More disk and RAM
  • A separate IP
  • The same care

When mailboxes grow and disk fills up, the fee is calculated from the resources — monthly and transparently.

Corporate

Advance planning

  • A separate conversation
  • Audit and plan
  • SLA and priority
  • Staged migration

Multiple domains, departments and complex requirements — that needs a separate conversation and advance planning.

The third-party SMTP provider cost is not included — it is billed separately and transparently.

Email / capabilities

What it covers

Shared or dedicated server, third-party SMTP delivery, SOGo and Roundcube, free clients — and I take care of all of it.

Unlimited mailboxes

No limits on mailboxes, aliases or forwards — growth does not raise the bill.

Anti-spam and antivirus

Rspamd, ClamAV and reputation control — the inbox stays clean.

SPF, DKIM, DMARC

Correct DNS records and third-party SMTP so your mail never lands in spam.

Migration

I move existing mail, contacts and calendars without downtime.

Care and backups

Updates, automated backups and monthly restore testing.

Common questions

What is the difference between a shared and a dedicated server?

On a shared server your domain sits alongside others — cheaper and faster to launch. On a dedicated one the whole resource and a separate IP are yours — more control and stability.

Can it be deployed on my own server?

Yes — that is exactly the dedicated option: mailcow deployed on your VM or physical server, with full documentation.

What happens when the number of mailboxes grows?

Nothing — there is no limit on mailboxes, aliases or forwards. Only disk grows, and only if you actually need it.

Who holds the passwords?

You do. I can change them at your request, but the admin panel is open to you as well — you can add mailboxes and change passwords yourself.

Can we use Outlook or Thunderbird?

Yes — IMAP/SMTP works with any client: Thunderbird, Outlook, Apple Mail, Android and iOS. I help with the configuration.

What is included in the 70 GEL?

Mail for one domain, unlimited mailboxes and aliases, both web interfaces, SPF/DKIM/DMARC, anti-spam, backups and maintenance. The third-party SMTP provider cost is billed separately.
